Project Title:             Consulting Services for Implementation Support for the Project: Promotion of Employment – Sustainable Employment Project (SEP)

Project location:        West Bank, Palestine

Place of duty:             Ramallah

Contract duration:    Jun 2025 – April 2028

GFA Consulting Group GmbH, in Joint Venture with CEP-Center for Engineering and Planning was awarded a contract for the Consulting Services for Implementation Support for the Project: Promotion of Employment – Sustainable Employment Project (SEP), funded by KfW. The SEP focuses on job creation and capacity development, targeting vulnerable groups such as women, youth, and people with disabilities. Being part of KfW's broader Development Cooperation Program, the SEP project aligns with the German Federal Government's commitment to grant funds for sustainable employment in Palestine and contributes to an improved employment situation in the Palestine, aligning with the Palestinian Employment Strategy.

 

The duration of the SEP project is 36 calendar months from the start date, which was on 6th April 2025 and will end on 5th April 2028.

Administrator Assistant will be employed to assist the project team in the areas listed below. The assistant will be employed for the indicated period with a probation period of three (3) months. The start of the assignment is as soon as possible.

Office Management / project assistance

·         Day-to-day management of all administrative matters related to the SEP project (project correspondence, logistics, official authorizations)

·         Procurement, management and disbursement of office supplies and equipment including preparing request forms, obtaining quotations and preparing purchase orders in line with GFA administrative rules and regulations

·         Maintenance of address lists and other working documents for a smooth functioning of the project office

·         Updating and maintenance of project documentation and filing system

·         Coordination of project-related travel of the project team, including timely preparation, flight reservations, accommodation and travel expense claims

·         Preparation of logistical arrangements for workshops, conferences and other meetings under the project

·         Administrative management of project and rented vehicles

·         Support in interpretation and translation of documents from English into Arabic and Arabic to English as required

·         Support for the long and short-term experts in the preparation of reports, documentations, minutes

·         Assistance in managing regional and national tender procedures.

·         Any other tasks assigned by the Team Leader.

Accounting

·         Assist in budget and financial management of project, tracking project expenditure, preparations of budget revisions, in close coordination with the team leader and GFA HQ.

·         Preparation of monthly accounting with all expenditures and invoices using GFA’s online accounting system.

·         Handle petty cash and accounting for all expenditures within the project.

·         Update and maintain financial documentation and filing system.

·         Process quotations, orders, bank deposit/disbursement and invoices.

·         Assistance in the verification of expenditures, invoices and payment requests from contractors.

·         If required, liaison with the local GFA branch representative on accounting and tax issues.

 

الشروط

Qualifications and Skills

·         Bachelor degree with thorough experience in Administration/Finance or Commerce or related field.

·         Excellent organizational and administration skills, ability to relate with multidisciplinary teams

·         Fluency in both written and spoken Arabic and English

·         Very good knowledge of MS Office tools like Word and Excel, good knowledge of use of email and internet

·         Good knowledge of computerized accounting

·         Ability to work reliably and in a responsible, result-oriented way, usually without supervision

·         Good communication and interpersonal skills an advantage would be if the person has already worked in a similar position for at least two (2) years.

·         Lives in Albireh/Ramallah.

The office of the project is located in the premises of the Palestinian Employment Fund (PEF), Global Building. 2nd Floor, Nablus Street., Albireh, Palestine
